Network ID Policy Change and Implementation

In accordance with new SIUC policy, approved by the Board of Trustees in December, 2005, all SIUC faculty and staff are required to have and to maintain an Information Technology (IT) department network ID and the password associated with it.  A memo from the chancellor's office communicating these requirements to the faculty and staff has been sent to all chairs and department heads.

Beginning January 3, 2005, all Faculty, AP, and Civil Service employees appearing in the weekly AIS extract file will be automatically assigned an SIUC Network ID if they do not already have one.  New employees will be given one of these automatic IDs if they do not create one soon after the beginning of employment.

Campus departments may also assign IDs within their units, but these will be in addition to the IT department network ID, rather than in lieu of an IT department network ID . Email forwarding should be established via the Intelligent Inbox facility, to send any incoming email from the new IT department network ID account to the departmental email account, if the user does not wish to check the IT department account on a regular basis. This will allow for administrative communications such as password expiration messages and other "housekeeping" notices to be seen and dealt with by the user in a timely fashion.

Employees are now required to have entered in the "People Finder" directory server a valid SIUC email address -- either "xxx@siu.edu" or "xxx@<department>.siu.edu".  The requirement for an email address to be used for official electronic communications will be satisfied by a departmental email address if it is entered in the directory server.

Any SIUC faculty or staff who did not already have a campus network ID on January 3, 2006, will have an "autogenerated" Network ID created for them. These IDs will be in the form "siunnnnn" where "nnnnn" is the 2- to 5- digit AIS employee number (which can be found on your pay statement).  A default initial password will be generated at the time the ID is created. This default password is formed from the AIS employee number followed by the AIS PIN number, formed from the employee day and year of birth.   If the employee subsequently requests a Network ID they will be allowed to do so, but the "Creation Successful" popup window returned will state:

You currently have an autogenerated Network ID in the form SIUxxxxx
where xxxxx is your AIS employee number.  This ID will be deleted in two weeks.
Please download any mail from that ID that you might want to keep before that time.

This will be followed by the usual information about queueing the new Network ID for creation, and the initial default password. Default passwords for self-generated network IDs are still formed from the last 4 digits of the personal ID number (SSN) followed by the AIS PIN number. (AIS PINs are formed from the employees day and year of birth.)

Approximately 1200 Network IDs have been generated by this automatic process for faculty and staff who did not have one.  Following the automatic creation of these IDs, an informational letter was printed and sent by campus mail to the individual, notifying them that a network ID has been created. The letter contains instructions on viewing the IT policies web page governing the creation and use of computer accounts (with implied agreement by the individual), and instructions on how they can change this Network ID to a more appropriate permanent one if they wish.

Any user having an automatically-generated "siunnnnn" network IDs will be allowed to create an additional network ID of their choice through the "Network ID Creation" web page.  Upon creation of the new network ID, the siunnnnn network ID will be automatically deleted after two weeks.

Upcoming "<People Finder> Directory Information Changes

During the Spring 2006 semester, procedures will be put in place which will restrict changing the email field on the SIUC "People Finder" Directory server to any address other than one ending in "siu.edu."  This will allow both network IDs (@siu.edu) and departmental addresses (@<department>.siu.edu) to be entered, but will prohibit changing the email entry to any off-site address (e.g., yahoo, hotmail, msn, etc).  In addition, any email address entry in the "People Finder" Directory server containing an invalid (non-SIU) address will be overwritten with the correct associated network ID.
